Office
• Primarily use electronic communications internally (including edits in Word documents track changes)
• Staff shares transportation to & from airports whenever possible
• The following materials are all recycled:
- White & Colored Paper (matte and glossy)
- Magazines, Brochures, Newspaper, Blue Prints
- Manila Folders
- Envelopes
- Post-it Notes
- Junk Mail
- Cardboard
- Books
Marketing
• Online Sponsorship Prospectus (not printed and mailed)
• Web site is the primary vehicle for conference information (agenda)
• Substantially scaled down Advance Program printed on recycled paper and only one printing/mailing
• All marketing other than the small Advance Program is done electronically (email)
• Online registration offered and primarily used
Onsite
• Substantially scaled down program guide, printed on recycled paper
• Conference materials bags are made from recycled material
• Drop boxes available for return/reuse of conference badge holders
• Badge stock is recycled paper
• No bottled water provided onsite – pitchers and/or water coolers and glassware instead
• Durable, reusable signage used as much as possible
• No disposable (“to go”) cups provided for beverages in the hotel
• Session Handouts posted online and USB drive rather than printed and distributed
• Renaissance Vinoy Resort & Golf Club and Hilton Clearwater Beach venues are designated Florida Green Lodging Program properties (see http://www.dep.state.fl.us/greenlodging/default.htm for details)
• Board of Governors’ Dinner venue is walking distance from hotel
• Leadership Reception venue is walking distance from hotel
• China used rather than paper products whenever possible
• Biodegradable, disposable cups used for drinks on busses enroute to Welcome Reception
• Durable, reusable plastic cups used at Welcome Reception
• Biodegradable, disposable bamboo plates used at Welcome Reception
• Guests must sign-up for meal functions (cuts down on waste)
• Esprit Awards entries displayed electronically rather than on paper in binders or poster boards
Attendees (via email and Web site, encourage to do the following)
• Share rides and/or use public transportation to & from airports
• Participate in hotel’s linen reuse program
• Set thermostat 68-73 degrees
• Turn off a/c, lights, TV and radio when leaving hotel room
• Take a shower instead of a bath to reduce water usage
• Unplug phone charger / laptop / hairdryer, etc when not in use
• Don’t leave bathroom light on all night – bring your own nightlight if necessary
• Be sure to return your conference badge holder at the conclusion of the conference

• Sponsor information online and/or USB drive rather than paper in registration bags and materials table
